About the project
As the world is becoming more and more flexible, and the workers are more and more fluid in their workspace selection, there is a need to support coworking spaces and their managers with an easy-to-use system for shared spaces management. Our client came up with the idea of making the tedious process of offline office booking as quick as possible in real-time, combining it with automation of administrative tasks and assisting with membership, license, and contract management for coworking employees.
Challenge and solution.
Our team’s biggest challenge was creating a solution that would ease the online booking, reducing the number of clicks to a few to achieve the task.
We implemented a simple and functional filter that lets users find the room based on all desired criteria. Then, our users can check the essential details and book a room right from the list view of the available offices. Thus, after filtering the list, users book rooms in two clicks.

01/ Discovery Phase
Taking the user needs and customer requirements as a guide, our product team synthesized the research materials to create user-friendly information architecture. Afterward, our UX/UI designer built high-fidelity wireframes to clarify and define features, gain valuable developers’ insights regarding the functional requirements, and look objectively at UX, revealing possible issues early. The rounds of improvements brought us to the final design stage.

The concept of coworking spaces is about simplicity, friendliness, and sharing of space, equipment, and ideas. Our main goal was to convey the same idea with a vivid and smooth UI. Whenever we had differing views throughout the product’s interface, it was heartening to know that we could look to our users’ opinions as the decisive factor in guiding our final decisions.

Users can book the best room in 2 clicks.
Filter helps users select their desired date and time and refine data by building, floor, room, room capacity, or room features for more granularity.
Users can change the time of booking in the field by selecting available time slots or dragging a blue rectangular.
There is also a possibility to specify the meeting agenda, add a meeting title & description, indicate a list of topics to cover during the meeting, or create a quick note.

To keep track of all meetings and bookings, all users land on the intuitive dashboard that lets users view and manage upcoming bookings as well as check the limit of hours left in the particular coworking.
